General Guidelines for Cultural Programs
- Inaugural will be on Saturday morning per request.
- All Competitions shall be completed on Saturday.
- Informal and Formal fashion show time shall be distributed equally between two groups.
- Incorporate quality children program with Adult Cultural program.
- Television telecast shall cover all areas of three days Convention.
- The guest artist from Assam should be given the stage no later than 9pm for all evenings.
- Person/persons performing solo or duet on one evening should not get preference to sing again next evening. Limit 2 songs for the local artiste. This rule does not apply to the guest artistes from Assam.
- Maximum 10 minutes time slot may be assigned for the participants from each city or area. This will apply to the city/area where multiple entrees are entered.
- Screen programs for quality purpose.
- Time slots will be filled on first come first serve basis.
- No entrees will be taken after the deadline (June 1st).
- No last- minute change of venue.
- Preference of group performance over solo will be encouraged.
- Each participant cannot participate in more than two items (excluding all Competitions, Group Performances and Fashion Show).
- Duration of each type of program (including wrap up time):
- Solo - Song/Dance: 3 to 6 minutes.
- Group - Song/Dance: 4 to 8 minutes.
- Drama /Skit: 10 to 20 minutes.
- Bhaona : 30 minutes.
- Instrumental: 4 to 6 minutes.
- A guideline with the introduction/description of each item in short will be given to emcees.
- Emcees speech must not exceed 2 minutes.
- The sequence of the program will be decided by the cultural committee.
- The brochure of the cultural programs for all three days will be included with the welcome package at the registration booth.
- The convention program schedule should be displayed outside the registration area during the duration of the Convention.
Guidelines for selecting Judges for all the Competitions
- There should be a three-member Competition committee, comprising of (a) the chairman of the Convention committee (b) the Convention Competitions (all) team leads (c) the President of AANA or any AANA Executive Committee member.
- The committee will select three judges in each category, Children Chorus, Adult Chorus and Bihu Dance competition before the Convention Day.
- Trophies will be given to the winners of Adult Chorus, Children Chorus and Ladies Bihu Dance.
- Prize money to the winners of each competition will be awarded based on newly approved or previously approved money by the AANA general body to be administered by the AANA Executive. Anybody from the community can sponsor prize money for the competitions.
- The evaluation sheets of the judges should be handed to the Competition committee for approval and finalization.
- The main responsibility of the committee is to make sure that there is no possibility of any controversy on the results. To achieve this, the following guidelines should be considered.
- It is very important to select three judges who are qualified and have previous experience.
- All the judges must be approved by the committee prior to the competition or AANA Executive will provide the judges.
- Conflict of interest – make sure that judges do not have any direct contacts or acquaintances with the participants.
- No more than one judge should be from the Convention city, provided no team from the Convention city is one of the participants in the competition.
- The judges should be given the scoring criteria ahead of time so that they all know what to look for among the competitors.
- Decision of the judges will be final.
- Results of the competitions will be submitted to the Competition committee, not to any individual.
Note:
All rules including the judging criteria shall be published at the time of registration for the competitions. Name of the judges shall not be published.
Suggestion for the Emcee: The Emcee must not praise or talk about the participating teams before and after a team’s performance.
Rules and Regulations for Chorus Competition (both Adults and Children)
- Time allotment to each group should be 5 minutes (adults), 4 minutes (Children), excluding set up and dismissal times.
- Song choice can be any Assamese song sung creatively as a chorus. National or Regional Anthems are not allowed.
- Children Chorus group ages from 6 to 14 years. Adults Chorus group ages from 15 and above.
- Number of participants: minimum of 4 participants for children, and 6 participants for adults and maximum of 18 participants for both children and adults.
- Setup and Dismissal: maximum time allotment allowed for set up is not more than 90 second and dismissal 90 second.
- By submission of an application and entering the Contest, each group represents and warrants his or her compliance with the rules and regulations.
- No group will be permitted to participate unless they acknowledged and agreed to the rules and regulations.
- Contestants must supply their own background tracks on a single CD, a pen drive, or live musical instrument (no additional points, judges should be informed accordingly).
- Contestants and their families are not allowed to have contacts with contest judges before or after the competition.
- Judging will be scored using a 60 points system: Tune, Rhythm, Diction, Teamwork, Performance -10 points each, Dress 5 points, Preparation 3 points, Song Selection 1 point, Set up and Dismissal 1 point.
Rules and Regulations for Adult Bihu Dance Competition
- This is ladies Bihu dance competition. Song choice must be traditional Bihu song.
- Lyrics must be appropriate for a family setting.
- The accompanying music may be live or pre-recorded.
- No extra points for dancing to a live music.
- Time allotment to each group will be 6 minutes.
- Number of participants: Minimum of 4 participants and Maximum of 12 participants.
- Participants should wear ethnic Assamese Bihu outfit.
- All Team members must participate equally and must be well coordinated.
- By submission of an application and entering the contest, each group represents and warrants his or her compliance with these rules and regulations.
- No group will be permitted to participate unless they acknowledged and agreed to the rules and regulations.
- Contestants and their families are not allowed to have contacts with contest judges before or after the competition.
- Judging will be scored using a 70 points system: Jujona, Coherence, Technicality, Creativity/Choreography, Complexity-10 points each, Presentation – 15 points, Dress - 5 points.
Fashion Show Guideline for both Formal and Informal Participants
- All participants must register with the Assam Convention before submitting their entry to the fashion show.
- Participant should register in one fashion show category only.
Formal:
- Submission Deadline is April 20th.
- Age no bar: Participants can be both young or young at heart.
- Ethnic wear will be given by the Designer.
- Ramp-walk partners will be picked by the Designer.
- All participants need to be present at the rehearsal time.
- Announcement will be posted for rehearsal sessions by the Designer.
- Music will be selected by the Designer.
- No last-minute registration.
Informal:
- Submission Deadline is June 1st.
- Age no bar: Participants can be both young or young at heart.
- Participants wear their own ethnic wear.
- Participants can select their own partner to walk along on the ramp or walk single.
All participants need to be present at the rehearsal time. - Announcement will be posted for rehearsal sessions by the Host Committee team leads.
- Music will be selected by the Host Committee.
- No last-minute registration.

The Kids & Youth committee of Assam Convention 2023 is hosting a fashion show competition in different age group categories. Namaste India will be a platform to showcase the diverse cultures of the Indian subcontinent.
Date : Saturday , July 1st, 2023
Time : 9:30 AM - 10:00 AM Location : Stage , Grand Ballroom
Age groups :
Group A : below 10 years
Group B : 10 -13 years
Group C : 14 - 16 years
Namaste India Guidelines :
- Time and location of the competition will be shared with participants before the competition if any changes occur
- Namaste India registration is by first-come first-served basis. Due to limited time for this event, registration will be closed earlier if the number of contestants reaches capacity.
- All participants need to report at least 10 mins before the competition starts
- There will be first, second and third prize in each age group category
- Kids will wear ethnic clothing representing any State/region of India.
- Each contestant will be given a number
- Contestants will be judged based on -
- Walk/Poise. In group A, infants /toddlers can be carried by parents to walk the ramp
- Costume
- Creativity - Contestants can choose to incorporate an universal message of unity/collaboration/heritage/environment or any other humanitarian message in their presentation
- Overall presentation
- Music for the ramp walk will be prepared by the Youth/Children Programs committee
- Results will be announced on the same day
- Additional details about the presentation - E.g. costume is made of special weave , worn on special occasion , any message in their presentation can be sent to “kidsyouthac2023@gmail.com”
- Introduction/description of each participant/performance in short will be given to emcees

- No foul languages will be allowed

Event : Talent Competition
Date : Sunday, July 2nd, 2023
Time : 9:30 am - 11:00 am
Location : Stage, Grand Ballroom
Age groups :
Group A : below 10 years
Group B : 10 -13 years
Group C : 14 - 16 years
Competition Guidelines :
- Time and location of the competition will be shared with participants before the competition if any changes occur
- Talent show registration is by first come first basis. Registration may close anytime if space and allotted time limits reached.
- Each contestant will be given a number
- All participants need to report at least 10 mins before the competition starts
- Participants will be allowed 4 mins to perform
- Props must be set up and removed from stage within that 4 mins of performance
- Participants need to inform the Youth/Children Programs committee prior to the competition if they need assistance with setting up / removal of props
- Participants can compete as Solo or as Group
- Maximum of 8 participants allowed in a Group performance
- Participants are allowed to use live musical instruments
- Participants should arrange and bring their own props/ musical instruments
- No hazardous props ( such as fire, knives, swords etc. ) will be allowed
- Participants need to send any audio/music track to be used to “kidsyouthac2023@gmail.com” by May 22nd in MP3 format
- Introduction of the participants and their performances in short will be given to emcees
- There will be first, second and third prize in each age group category
- Decision of the judges will be final

- Coloring pages with objects related to the theme will be provided to Group A along with crayons
- Art supplies will be provided by the Youth/Children Programs committee
- No oil or watercolor will be allowed
- There will be first, second and third prize in each age group category
- Decision of the judges will be final
- No foul languages will be allowed
- Proper decorum needs to be maintained. Failure to do so can result in immediate disqualification of a participant

Event : Essay Writing Competition

Event : Workshop
Topic: Basic CPR
Purpose: To provide information and Enrichment through Workshop

Group B : 10 -13 years
Group C : 14 - 16 years
Workshop guidelines:
- Time and location of the competition will be shared with participants before the competition if any changes occur
- Workshop topic will be shared with participants later
- Workshop will be conducted by conductor
- Workshop Conductor to arrive 5
minutes earlier to start the program for set up.
- Children are requested to wear a name tag.
- Workshop participants must wait their turn to ask questions .
- Workshop must be completed within allocated time.
- No foul languages will be allowed
- Proper decorum needs to be maintained.
Event : Craft

Members of the community are invited to submit their writing/art/ads to be included in Uruli, the souvenir for the 44th Assam Convention.
All submissions should be made by May 31, 2023.

Submission guidelines are as follows:
Adults’ Section:
Prose fiction or nonfiction in English and Assamese.
- Should be within 500 words.
- Non-fiction essays should be on subjects relevant and of interest to the community audience and the occasion.
Poetry in English and Assamese.
- Should be within 2 pages.
Art and Photography
- Should be able to be contained to one page.
- Submitted in a format that can be manipulated by the editors to fit the layout.
Children’s Section:
Children from pre-K to 12th grade are encouraged to submit their essays, poetry, and artwork.
Additionally, we encourage children to write on the theme of a memorable experience in Assam.
Community Achievement Section:
We encourage members to share achievements that make our community proud. This could include recognitions, awards, publications, etc. (Within 100 words).
Advertisement Section
Members are encouraged to support the souvenir by buying advertising space for themselves or their business, or as a sponsor.
